Job purpose
The General Admin’s primary function is to provide administration support primarily to the Materials Department, working alongside Production Control. This role will also have the opportunity to support other departments in administration as needed. Excellent communication and organization skills, attention to detail and MS Office experience.
Duties and responsibilities
Reporting to the Materials Manager the General Admin’s major activities and responsibilities include the following.
Daily Roles and Responsibilities
- Preparing shop order packages for production based on Ready/Dispatch lists provided from production control.
- Preform the function of splitting orders using Cincom and documentation provided Ensuring that documents are scanned into the correct files to ensure product traceability
- Creating Receiving Vouchers for Receiving Inspection for goods arriving from all vendors
- Collaborate with Contracts and Quality to generate Release Notes (Certificate of Compliance) required for all customer shipments
- Verifying all operations and quantities are accurate before closing shop orders and making the appropriate corrections in Shopvue and Cincom when necessary
- Scanning of shop orders into their appropriate folders once completed
- Update work instructions and policy documents for the Materials department
- Assist in annual physical inventory and cycle counts
- Support the implementation of MOS tools and policies
- Other duties may be assigned
Stakeholder Management
- Be a critical interface with internal manufacturing, scheduling, purchasing, quality and configuration departments as needed.
Continuous Improvement
- Implement appropriate processes for documenting lessons learned and sharing of best practices

- 0% travel time will be required for this position
Qualifications
The minimum qualifications
- Commerce or Business Training, Business School Diploma or experience
- 1-5 years relevant experience working Customer Service in a Manufacturing environment
- Outstanding analytical and organizational skills
- Excellent knowledge of Microsoft Excel, Word, Access and Office
- Excellent written /verbal communication skills
Physical requirements
The physical requirements of this job are minimal. The daily routine will entail sitting at a desk, general walking to and from meetings and conducting regular floor walks on the manufacturing floor.
